The Administrative Assistant is responsible for the company's administrative activities related to and following up on outsourced services such as:
reception, property safety, property maintenance, cleaning & gardening, telephony & internal circulation, among others.
Is also responsible of the overall organization so that administrative staff, equipment, supplies and other resources are used effectlivly.
Manage the day to day operations of a variety of office services to ensure the organization's administrative needs are met, this may include:
copy services, office supplies, administrative assistance, post mail and messenger services.
Main Responsibilities Essential Functions and Responsibilities Administrative Assistant - to keep the office running smoothly.
Overall Responsibilities Managing the day to day needs of the office - i.
e.
ordering of office supplies and being a liaison between guests, the Pomona office and Dechra Pick up, sort, and distribute mail to appropriate departments Review and scan invoices and documents Own the electronic invoice process and assist with the filing of paper invoices as necessary and document retention policies.
Concur T&E submissions reports for Site Director, Financial Business Partner, pCard submissions, Review Expense Reports ensuring compliance with the policy.
Monitoring AP email correspondence.
Tracking and managing the fulfillment of promotions for the marketing team.
Manage all state and local trade shows - reserving booth space, reserving power, lead retrievals, furnishings, and anything else that is needed.
